Annual Troop Financial Report 2022

Each membership year, ALL Girl Scout troops are required to submit their Annual Troop Financial Report BY July 30 (new date for 2022)*. It is one of the best ways to ensure each troop’s financial health contributes to great girl experiences. On September 30th of each year GSUSA archives and resets for the new membership year.   

This report is to be completed through the “Finance Tab” in the Volunteer Toolkit, accompanied by a reconciled bank statement, including a detailed cash report or software program report of your choice.

~Why do we have to fill out a report every year?
For many reasons: protect the interest of the troop, protect volunteers like yourself, auditing, and planning.

~Should I keep records and how long?
Volunteers who lead Girl Scout troops must keep all itemized receipts of purchases, bank receipts and deposits, and monthly bank statements on file for a minimum of four years. These documents may be requested at any time by any registered Girl Scout member, guardian of a girl member, or Girl Scouts staff member. This is based on IRS record retention guidelines.

~*What if we missed the deadline?
Don’t worry however VTK does go down for maintenance during the summer (date TBD) and on September 30th GSUSA archives and resets for the new membership year. We strongly suggest the sooner than the later and enjoy your summer. As soon as VTK is back up and you haven’t submitted, we suggest filling out before your troop meets before September 30th.

~What month do I start with? Do I start with October 1st?
Start right after you left off last year
with the report. If you are a new troop then begin when you started your troop bank report. Do not following the Girl Scout Calendar which is October 1st.

~My troop is debating on disbanding however my daughter or some of the girls want to continue on, what should I do?
See page “Continuing On” for your answer. There are many options!


Disbanding? 

If a Troop is disbanding they should fill out the “ATFR” and then the disbanding form online. Please let us know if any girls are still interested in continuing with Girl Scouts, we have many local troops and a Group of Cadettes through Ambassadors Girls that meets throughout the year, Juliettes are welcome! – see Trailblazers 47281 for more information.
