Events Policies

Volunteers within our Service Unit which can be Troop participation may plan activities and events throughout the year for our local communities. Most events are planned by a committee and there are no certain requirements or expectations for activities. We welcome input and assistance in all planning endeavors.

su402 EVENT POLICIES

We strive to host activities that are Girl Scout badge/skill related, inclusive, affordable, and fun! In order to do that, we must follow these policies:

  • Troop Supervision
    • Unless specified, ALL su402 events are TROOP events. Troops must provide adequate supervision for the scouts while adhering to the scout:adult ratios as published in Volunteer Essentials. The current version of Volunteer Essentials, is always on the Forms page on our council website. A copy of the ratios has been inserted at the bottom of this page.
  • Registration
    • Registration is required for all su402 events so we may get supplies, facilitators and secure adequate insurance, ratios, and safety for all participants. Registration methods will be posted for each activity on the su402 events page. Those who arrive without being registered will not be able to participate.
  • Deadlines
    • Deadlines for registration will be published for each event and will be firm dates. We know everyone is busy, including the volunteers who are planning the events.
  • Payment
    • We request each troop provide ONE troop check that covers the entire amount. If your families are paying for the activity directly, we ask you to collect the payments, deposit them into your troop bank account, and then write one check to cover.
  • Refunds
    • No refunds will be allowed after the registration deadline unless the event is canceled.
    • Troops may substitute or secure a substitute attendee from someone within their troop or another troop prior to the event.
    • Any unintentional profit will go towards su402 or Troop that is hosting for future programing or service projects.
  • Food
    • If the event includes food, the “menu” will be published ahead of time. Accommodations should be met for allergies when possible.
  • Registered Girl Scouts
    • ONLY Girl Scouts Members (adults and girls who have become members of Girl Scouts) may attend su402 events unless otherwise specified in the invitation and flyer. Additional insurance can be obtained through council when needed.
  • Siblings (Tagalongs)
    • Depending on the event and especially Camporee which are designed for registered Girl Scouts to earn badges and official Girl Scout recognitions, siblings are not allowed. We do schedule some family events throughout the year.

Have the Required Scout-to-Adult Ratios

Girl Scouts’ adult-to-scout ratios show the minimum number of adults needed to supervise a specific number of scouts. (Councils may also establish maximums due to size or cost restrictions.) These supervision ratios were devised to ensure the safety and health of scouts—for example, if one adult has to respond to an emergency, a second adult is always on hand for the rest of the scouts.
